Maths Mindset Groups
These Terms & Conditions apply to children attending face-to-face Maths Club sessions provided by The Maths Mindset Academy.
1. First Session Free
Every new child is welcome to attend their first group session free of charge, subject to availability.
There is no obligation to continue after the free session. If your child would like to continue, you can then secure their place in the group.
The free session is limited to one per child.
2. Fees & Monthly Payment
Sessions are charged at £12.50 per child, per 60-minute session following the child's free first session.
Sessions are paid monthly in advance. The amount due will depend on the number of scheduled sessions taking place that month.
For example, a month containing four sessions will cost £50.
If your child joins part-way through a month, you will only be charged for the remaining scheduled sessions following their free first session.
Payment must be made by the stated payment date to keep your child's place reserved.
3. Missed Sessions
If your child is unable to attend, please let me know as soon as possible.
As places are limited and your child's space is reserved for them, missed sessions are non-refundable and cannot normally be carried over.
This includes absence due to holidays, other commitments or short-term illness.
4. Sessions Cancelled by The Maths Mindset Academy
If The Maths Mindset Academy needs to cancel a session, parents/carers will be notified as soon as reasonably possible.
Any amount already paid for the cancelled session will be refunded or credited towards the following month's payment.
5. Cancelling Your Child's Place
There is no long-term contract.
If you no longer wish for your child to attend the group sessions, please let me know before the next monthly payment is due.
Once a month's sessions have been booked and paid for, fees are normally non-refundable as your child's place has been reserved for that period.
6. Arrival & Collection
Parents/carers are responsible for ensuring their child arrives safely and on time.
Children should not be left at the venue significantly before the session begins unless this has been agreed in advance.
At the end of the session, children will only be released according to the collection arrangements provided by their parent/carer.
If a parent/carer wishes their child to leave independently, this must be authorised in advance.
7. Late Collection
Children should be collected promptly at the end of their session.
If you are unexpectedly delayed, please contact The Maths Mindset Academy as soon as possible. Your child will remain appropriately supervised while reasonable attempts are made to contact you or their emergency contact.
8. Behaviour & Inclusion
Maths Mindset Groups aim to provide a safe, supportive and inclusive environment where children can develop their confidence and enjoy mathematics.
Children are expected to treat other students, the tutor, equipment and venue with respect.
The Maths Mindset Academy recognises that behaviour can be a form of communication, particularly for children with SEND, neurodivergence or additional needs. Reasonable adjustments and supportive strategies will be used wherever appropriate.
However, where behaviour creates a significant or persistent safety concern for the child, other students or the tutor, a parent/carer may be contacted. In exceptional circumstances, a child's place may need to be reviewed.
9. SEND & Additional Needs
Parents/carers are encouraged to provide information about any SEND, neurodivergence, disabilities, sensory needs or other additional needs that may help me support their child.
Reasonable adjustments will be made wherever possible to help children access and enjoy Maths Club.
Please inform The Maths Mindset Academy if your child's needs or circumstances change.
10. Medical Information & Allergies
Parents/carers must provide relevant information regarding medical conditions, allergies or other health needs that could affect their child's safety or participation.
Emergency contact information must be kept up to date.
If a child becomes unwell during a session, their parent/carer or emergency contact may be asked to collect them.
In an emergency, appropriate first aid and/or emergency medical assistance will be sought.
11. Safeguarding
The Maths Mindset Academy is committed to safeguarding and promoting the welfare of children and young people.
Sessions are operated in accordance with The Maths Mindset Academy Safeguarding & Child Protection Policy.
Where a safeguarding concern arises, information may be shared with appropriate safeguarding services where necessary to protect a child or another person from harm.
12. Photography & Marketing
Photographs or videos of children will only be taken for promotional purposes where appropriate parent/carer consent has been obtained.
Consent is completely optional and does not affect your child's ability to attend Maths Club.
Consent can be withdrawn for future photographs or recordings at any time.
13. Personal Belongings
Children should avoid bringing unnecessary valuables to sessions.
The Maths Mindset Academy cannot accept responsibility for loss of or damage to personal belongings unless caused by negligence.
14. Changes to Sessions
Occasionally, circumstances outside of our control may require a change to a session's time, date or venue.
Parents/carers will be given as much notice as reasonably possible of any significant changes.
15. Keeping Information Up to Date
Parents/carers are responsible for ensuring that the contact, emergency, medical and collection information held for their child remains accurate.
Please notify The Maths Mindset Academy of any relevant changes.
16. Agreement to These Terms
By registering your child for ongoing Maths Club sessions, you confirm that you have read and agree to these Terms & Conditions.
